We are looking for an experienced and passionate Administration Manager to join our team! As an Administration Manage, you will supervise daily support operations of our company and plan the most efficient administrative procedures. You will also lead a team of professionals to complete a range of administrative tasks and duties in different departments. Administration Manager is responsible for managing and overseeing the company’s day-to-day administrative processes and efforts. They have excellent communication and organizational skills, and they are result-oriented people.
Requirements
- Bachelor’s degree in Business Administration, Management, or a related field Proficiency in data entry software, spreadsheets (e.g., Microsoft Excel), and word processing tools.
- 4+ Years Experience
- Strong organizational and multitasking skills.
- Excellent written and verbal communication skills.
- Ability to negotiate and manage accommodation contracts effectively.
- Proficient in office management software (e.g., MS Office, Google Workspace).
- Strong financial management skills related to accommodation costs and payments.
- High attention to detail and ability to handle confidential information.
Responsibilities
- Administrative Operations:
Oversee and streamline the daily office operations, ensuring smooth and efficient workflow.
Implement, maintain, and update office processes and procedures for maximum productivity.
Coordinate office supplies, equipment, and office services to maintain a functional working environment. - Team Management:
Supervise administrative staff, providing support, training, and performance evaluations.
Foster a productive and collaborative work environment within the team. - Accommodation Management:
Coordinate the search and arrangement of Management and office staff and expat accommodations in line with company policies.
Ensure timely payments are made for all accommodation arrangements, including office space and employee housing.
Liaise with landlords, property managers, and vendors to negotiate rates and resolve any accommodation-related issues.
Maintain accurate records of accommodation contracts, payments, and expenses.
Ensure accommodation is ready for new arrivals and well-maintained for the duration of the stay. - Financial Management:
Process and track payments for accommodation services, ensuring all payments are made on time.
Work with the finance team to ensure accommodation-related budgets are adhered to and expenses are managed within limits.
Ensure that accommodation costs are accurately reflected in financial reports. - Communication & Coordination:
Act as the primary point of contact for employees and expats regarding accommodation issues and concerns.
Assist with the onboarding of new employees and expats, including relocation assistance related to accommodation.
Coordinate with other departments to ensure any additional office or accommodation requirements are met. - Compliance & Reporting:
Ensure adherence to company policies regarding accommodation and office space.
Prepare and submit accommodation-related reports to management for review.
Ensure compliance with local housing laws and regulations. - Additional Responsibilities (as needed):
Assist with planning and organizing corporate events, workshops, and team-building activities.
Step in for other departments or managers during their absence, providing support where needed.
Take on special projects or tasks as assigned by senior management to improve operational efficiency.
