As a Crewing Coordinator, you will be crucial in managing the logistical aspects of personnel deployment and movement within the client base. You will be responsible for coordinating the movement of personnel, ensuring timely arrivals and departures, and maintaining accurate records of assignments. This position requires strong organizational skills, attention to detail, and the ability to communicate effectively with various stakeholders.

Our client, a subsidiary of an international logistics company is seeking a Crewing Coordinator for its operations in Guyana.

REQUIREMENTS

  • An Associate or Bachelor’s Degree in a relevant field, such as Business Administration, Logistics or Business Management.
  • Proven experience in logistics coordination, preferably in a personnel deployment or similar role.
  • Strong organizational skills with the ability to multitask and prioritize tasks effectively.
  • Excellent communication and interpersonal skills.
  • Licensed Driver – with or without Defensive Driving Certification.
  • Proficiency in using Smart Devices, Microsoft Office Suite and other corresponding software applications.
  • Ability to work under pressure and adapt to changing priorities in a fast-paced environment.
  • General Knowledge of relevant regulations and best practices in personnel logistics management.
  • Attention to detail and a high level of accuracy in record-keeping and documentation.
  • Experience with Personnel Logistics management software.
  • Familiarity with safety and security protocols in personnel transportation and accommodation.
  • Previous experience working in a multinational or multicultural environment.

RESPONSIBILITIES

  • Crew Changes: Work with our clients to coordinate the exchange of Crew Members on board their fleet. This includes having the crew stamped either in or out of the country.
  • Travel Arrangements: Arrange transportation, accommodation, and other travel logistics for personnel, ensuring cost-effectiveness and adherence to organizational policies.
  • Meet and Greets: Arrange and facilitate Meet and Greet Services for personnel entering and if requested, for departing personnel also.
  • Schedule Management: Maintain and update schedules for embarking and disembarking personnel and their respective Vessel movements.
  • Communication: Serve as the primary point of contact for personnel regarding logistical inquiries and updates. Communicate effectively with team members, supervisors, and external partners to ensure smooth operations.
  • Documentation: Maintain accurate records of personnel assignments, travel arrangements, and related documentation. Ensure compliance with relevant regulations and internal procedures.
  • Invoicing: Ensure that all services rendered are invoiced correctly with the relevant supporting documentation uploaded to the custom-built ERP System.
  • Emergency Response: Develop and implement contingency plans for unexpected disruptions in personnel logistics, such as flight cancellations or weather-related delays.
  • Performance Monitoring: Monitor the performance of transportation providers and accommodation facilities, addressing any issues promptly to minimize disruptions.
  • AD HOC Duties: Any other duties that may be assigned within the organization.
  • Continuous Improvement: Identify opportunities to streamline processes and improve efficiency in personnel logistics management. Propose and implement solutions to enhance overall effectiveness.
