Key Responsibilities
- Direct and manage daily operations across freight forwarding, warehousing, and local delivery to ensure timely, accurate, and cost-effective shipment processing.
- Supervise, coach, and schedule operations staff (warehouse, dispatch, documentation clerks) to deliver high service standards and maintain staffing coverage.
- Ensure accurate preparation and verification of shipping documentation (airway bills, bills of lading, manifests, invoices) and maintain custody of operational records.
- Coordinate with customers, carriers, customs brokers/agents, port/airport authorities, and local transport providers to resolve issues and expedite clearances.
- Oversee cargo staging, inventory control, and physical verification processes to prevent loss, misrouting, or documentation discrepancies.
- Monitor KPIs (on-time departures/arrivals, delivery success rate, documentation accuracy, cost per shipment) and produce regular operational reports for senior management.
- Implement process improvements, standard operating procedures, and safety/compliance measures to improve reliability and reduce costs.
- Manage vendor relationships, negotiate rates and service levels with carriers and ensure contractual performance.
- Handle customer escalations professionally, provide timely status updates, and coordinate corrective actions.
- Maintain and promote compliance with customs, import/export regulations, and company policies (including use of customs systems where applicable).
- Support business continuity planning (BCP) and cover operational responsibilities when senior staff are absent or in cases of emergencies.
Requirements
- First degree (Bachelor’s) in Business Management, Logistics, Supply Chain Management, or related field.
- Minimum 4 years relevant experience in operations, preferably within a shipping, freight forwarding, or logistics company.
- Additional diplomas/certificates in logistics, freight forwarding, customs procedures, or supply chain management are advantageous.
- Professional certifications (e.g., IATA, FIATA, or logistics-related credentials) are a plus.
- Proven experience supervising and scheduling small to medium operational teams.
- Hands-on experience preparing airway bills, bills of lading, manifests, and commercial documentation for imports and exports.
- Strong knowledge of customs clearance processes and familiarity with customs systems, experience with ASYCUDA World is an asset.
- Excellent written and verbal communication skills; professional customer-service orientation.
- Proficient with Microsoft Office (Word, Excel, Outlook) and experience with shipment-tracking or TMS/WMS tools.
- Strong organizational skills, attention to detail, and accuracy in recordkeeping and data entry.
- Basic numeracy skillset for weight/volume calculations and cost tracking.
- Valid driver’s license and willingness to travel locally for cargo/port/airport coordination as required.
