Key Responsibilities

  • Time, planning & priorities
  • Own and manage the CEO’s calendar, appointments, meetings and movement.
  • Plan the CEO’s day and week ahead; prepare agendas, briefing notes and the documents needed for each meeting.
  • Anticipate what is coming, prompt the CEO on deadlines, and hold the priority list.
  • Execution & follow-through
  • Capture action items and decisions; track them to completion and report status without being asked.
  • Coordinate with managers and staff across JSB to move tasks forward on the CEO’s behalf.
  • Close loops – chase outstanding items, confirm completion, and escalate blockers early.
  • Correspondence & documentation
  • Draft, format and manage emails, letters, memos and reports for the CEO.
  • Maintain orderly, retrievable records and files; document decisions and commitments in writing.
  • Accounts & billing support
  • Assist with billing, invoicing and basic bookkeeping tasks in Zoho Books.
  • Help check figures, reconcile, and prepare simple financial summaries; verify accuracy before submission.
  • Confidential & office support
  • Handle sensitive financial, contractual and staff/payroll matters with discretion.
  • Provide general executive and administrative support to keep the CEO’s office running.

Requirements

  • Proven experience as an executive / personal assistant, senior administrator or similar support role.
  • Strong planning, organisation and time-management ability.
  • Fair-to-good accounting / bookkeeping knowledge (developable); comfortable with figures and billing.
  • Strong problem-solving and execution – gets things done under tight deadlines.
  • Excellent written and spoken English; accurate, professional correspondence.
  • High discretion and integrity with confidential information.
  • Computer literate (email, documents, spreadsheets); able to learn Zoho Books.
